How Oakleaf Park Studio LLC handles personal information through Handle It — Executive Office.
Last updated September 8, 2026
1. Scope
This Privacy Notice explains how Oakleaf Park Studio LLC (“Oakleaf Park Studio,” “we,” “us,” or “our”) handles personal information through Handle It, including its mobile applications, authorized web experience, customer-support channels, and related services (collectively, the “Service”).
Handle It gives each customer a personal Executive Office. A customer defines a desired outcome through an Agenda. The Office can structure, assess, research, compare, and prepare decision materials, including a Decision Brief and, after the customer chooses an option, a Hand-off Report. The customer controls final vendor contact, booking, reservation, purchase, and payment during the current production phase.
2. Information we collect
Depending on the features you choose and your membership tier, we may collect:
- Account and contact information: email address, authentication records, account identifier, membership entitlement, and customer-support communications.
- Agenda content: the requests, objectives, requirements, constraints, preferences, clarifications, selections, status, and closeout information you provide.
- Dossier information: information you voluntarily save to personalize your Office, such as contact details, address information, preference or eligibility indicators, and loyalty identifiers. Handle It does not ask you to store payment-card or bank-account numbers in the Dossier.
- Documents: files you voluntarily upload for an Agenda when document review is available under your tier. The Service requests documents only when the Agenda calls for them, and you may remove document review from an Agenda before continuing.
- Voice input: audio you intentionally record for Dictate. Audio is transmitted for transcription and is not intended to be retained by Handle It after transcription; the resulting transcript may remain as part of your editable Agenda.
- Service and device information: limited technical, security, diagnostic, and usage information necessary to authenticate users, operate the Service, prevent abuse, troubleshoot failures, and protect accounts.
- Purchase and entitlement information: app-store subscription status, product or tier, renewal state, and transaction references needed to provide and restore membership access. Apple or Google processes app-store payment credentials; Handle It does not receive full payment-card details from those stores.
Please do not place highly sensitive information in an Agenda or attachment unless the Service expressly requests it for the selected feature and you are comfortable providing it. Do not provide payment-card or bank-account numbers in Agenda text, the Dossier, support messages, or attachments.
3. How we use information
We use personal information to:
- authenticate you and preserve access to your Executive Office across authorized devices;
- receive, classify, and manage Agendas under the capacity and feature limits of your membership tier;
- personalize the Office using information you choose to retain in your Dossier;
- transcribe voice input you intentionally submit;
- analyze an Agenda, research and compare options, prepare Decision Briefs and Hand-off Reports, and maintain the Agenda workflow through customer closeout;
- provide document review when available and requested;
- deliver, verify, and restore membership entitlements;
- respond to support, privacy, access, correction, export, and deletion requests;
- protect accounts, investigate errors or abuse, maintain service integrity, and satisfy legal obligations; and
- improve quality and reliability using appropriately limited and protected information.
We do not use customer content for third-party advertising. We do not sell personal information. We will not use customer content to train a general-purpose model unless we first provide a clear explanation and obtain any consent required by law.
4. Artificial intelligence and human responsibility
Handle It uses artificial intelligence to help assess requests and prepare research, comparisons, and decision materials. AI-supported output can be incomplete, outdated, or incorrect. The Service is not a substitute for licensed legal, medical, financial, tax, immigration, or other regulated professional advice.
Customers must review the Decision Brief and final vendor terms before acting. The customer remains responsible for the final call, reservation, booking, purchase, payment, filing, signature, or other consequential action unless a later feature expressly states otherwise and is separately authorized.
5. Service providers and disclosures
We may disclose information to service providers that operate parts of the Service on our behalf, including providers of cloud hosting and databases, authentication and email delivery, encrypted key management and storage, artificial-intelligence processing, voice transcription, app distribution and subscriptions, security and performance monitoring, and customer support. We require service providers to process personal information only for authorized purposes and to protect it in accordance with applicable law and their obligations to us.
We may also disclose information when you direct us to do so; when necessary to complete an expressly authorized action; to comply with law, court process, or lawful government request; to protect rights, safety, accounts, or the Service; or as part of a corporate transaction subject to appropriate protections.
6. Dossier controls
The Dossier is designed to keep reusable personal information separate from Agenda history. Consequential disclosure occurs only for an approved purpose and only after the customer authorizes the relevant action. Disclosure receipts record categories, purpose, provider, authorization, and time without copying the disclosed values into Agenda history.
Dossier storage is designed to be encrypted using server-side key management. Dossier collection remains unavailable until the security controls governing access, encryption, key management, backup and restoration, deletion, export, and privacy-safe monitoring have been verified.
7. Retention
We retain information only as long as needed for the purposes described here, to provide the Service, resolve disputes, protect the Service, and meet legal obligations.
- An encrypted Dossier remains while the account is active and you choose to retain it.
- Authenticated Dossier deletion removes the live encrypted record promptly; account closure is designed to remove it within 24 hours.
- A value-free deletion record may be retained for 30 days so that a restored backup does not recreate deleted information.
- Value-free Dossier disclosure receipts are designed to expire after 12 months.
- A documented legal hold may delay deletion only when required and appropriately controlled.
8. Your choices and rights
Subject to applicable law, you may request access to, correction of, export of, or deletion of personal information associated with your account. You may remove optional Dossier information, remove document review from an editable Agenda, decline microphone access and type instead, and close an Agenda through the available workflow.
To make a privacy request, use the in-app controls when available or contact studioassistant@oakleafparkstudio.com from the email address associated with your Office. We may take reasonable steps to verify your identity. We will explain if we must retain limited information for legal, security, fraud-prevention, or transaction-record purposes.
9. Security
We use administrative, technical, and organizational measures intended to protect personal information. No system is completely secure, and we do not describe any security measure as absolute.
10. Children
Handle It is not directed to children under 13, and we do not knowingly collect personal information from children under 13.
11. International use
The Service and its providers may process information in the United States and other countries.
12. Changes
We may update this Notice as the Service evolves. We will post the updated Notice, revise its effective date, and provide additional notice when required by law.
